Invitation to Submit a Price Offer

The “Right Side” Human Rights Defender NGO, with the financial support of the United Kingdom’s Foreign, Commonwealth & Development Office, within the framework of the Strengthening Trans Organising Resiliency and Capacity project, hereby invites eligible and qualified organizations to submit quotations for the following services:

Event Description

• Format: International four-day conference
• Dates: October 21–26, 2025
  • October 21 – Arrival of participants
  • October 22–25 – Conference working days
  • October 26 – Departure of participants
• Location: Chisinau, Moldova
• Number of participants: 26 (from Armenia, Azerbaijan, Georgia, Turkey, Ukraine, and Moldova)

Required Services

1. Booking and provision of round-trip air tickets for 26 participants.
2. Transfers: airport–hotel–airport and local transportation as required.
3. Hotel accommodation, including:
   • Comfortable lodging (a mix of single or shared room arrangements),
   • Breakfast, lunch, and dinner,
   • Wi-Fi and necessary facilities.
4. Provision of a fully equipped conference hall (projector, sound system, internet connection, etc.) as well as breakout rooms for group work or meetings.
5. Organization of coffee breaks on all working days of the conference.
6. Organizational and technical support during the event, as required.

Submission Guidelines

Signed and sealed quotations must be submitted electronically to rightsidengo@gmail.com, indicating in the subject line “Quotation – Moldova Conference”, no later than September 30, 2025, 23:59 Yerevan time.

Eligibility Criteria

• The applicant must have at least 5 years of proven experience in organizing events at the local, regional, international level.
• The applicant must have valid legal and tax status (Company or Individual Entrepreneur).
• The applicant must demonstrate high responsibility and the ability to ensure the quality of diverse logistical services.
• The applicant must be guided by principles of equality and human rights and must not hold or practice homophobic, transphobic, or discriminatory attitudes toward any group.
